Whiteboard Pro Help

Whiteboard Pro allows any meeting host to limit the control participants have when they are granted share pod rights. The main disadvantage of allowing participants share pod rights is that they are able to close a pod, stop sharing a pod, switch PowerPoint/presenter slides while in sync mode, and clear the entire whiteboard. This can cause a great deal of confusion while presenting to large amounts of participants, when you would like them to be able to use the Whiteboard overlay.


Please follow these simple to use instructions to successfully use Whiteboard Pro:


1) Make sure the Attendee pod is present

Whiteboard Pro is designed to accompany the Attendee pod, and will not function properly without the Attendee pod being placed on the main meeting stage. You can hide the Attendee pod by checking the box in Whiteboard Pro label "Hide Attendee Pod" if you wish to hide it from all meeting participants.


2) Place Whiteboard Pro anywhere on the main meeting stage

Whiteboard Pro will need to be placed anywhere on the main meeting stage, and will not function properly if placed in the presenter only area. Whiteboard Pro will not be visible to any meeting participants.


3) Activate Whiteboard Pro by turning it on

Press the "Toggle Participants" button to activate Whiteboard Pro. Please see the on/off descriptions below:

When the "Toggle Participants" button is not highlighted, this means that Whiteboard Pro is off. While in off mode, Whiteboard Pro has no effect on your meeting. You can now click on the "Toggle Participants" button to turn Whiteboard Pro on.

 

When the "Toggle Participants" button is highlighted, this means that Whiteboard Pro is on. While in on mode, Whiteboard Pro applies the following settings to your meeting:

  • All current participants who do not have share pod rights will be automatically batch-updated to have share pod rights. You will notice a dialogue window will appear while Whiteboard Pro updates the participants - please wait for this window to close.
  • All new participants who enter the room while Whiteboard Pro is on, will be automatically updated to have share pod rights.
  • Meeting hosts will be able to see that all participants have share pod rights by viewing the share status icon in the Attendee pod.
  • Participants will not be able to click on any of the pod control buttons in the bottom of each pod.
  • If a host turns the Whiteboard overlay feature on any pod, participants will be able to use the whiteboard tool but will not be able to use the Clear button to erase the entire whiteboard.
  • Participants will not be able to click on any of the slide navigation controls while a pod is in Sync mode. If a meeting host unsyncs a pod, then participants will be able to use the slide navigation controls.
